AI Policy

We use AI tools to help us work efficiently and keep costs down for our clients. AI supports our team; it doesn’t replace them. Everything we deliver is checked and approved by a person, and you can ask us to limit or stop AI use on your work at any time.

This page explains which tools we use, what we use them for, and how we look after your data. It forms part of our Client Services Agreement.

The tools we use

We use two AI services, both on business accounts:

• Claude (Anthropic): writing, research, analysis, reporting and technical work.
• ChatGPT Business (OpenAI): image generation and early-stage layout planning.

We don’t use free or personal AI accounts for client work.

What we use AI for

• Drafting and editing written content, such as web copy, blog posts and emails
• Research
• Analysing search, analytics and website performance data
• Preparing reports
• Summarising correspondence and meetings
• Helping with code and technical troubleshooting
• Exploring layout ideas and concepts in the early stages of design

Final designs are produced by our designers, not generated by AI.

People stay responsible

A member of our team reviews all AI-assisted work before it is sent to you, published, or applied to your website.

AI is never used to change your live website, publish content or send communications on your behalf without a person approving it first.

Your data

• We only use business-tier AI services whose terms state that our content is not used to train their models.
• We keep each client’s work separate.
• We never enter passwords, payment details or special category personal data (such as health information) into AI tools.
• Where we connect AI to your analytics or sales data, the connection is read-only and limited to aggregate figures, not your customers’ personal details.
• AI providers act as sub-processors under our data protection obligations. See our Privacy Policy for details.

During a website build, we may connect AI to the development version of your site. This connection is switched off before the site launches on your live domain. We do not give AI tools access to make changes to live websites. The only connections to live sites are the read-only reporting connections described above.

Images

We always use real imagery first: photography and assets you supply, or professionally sourced images.

We use AI-generated imagery only as a fallback when suitable real imagery isn’t available. We will tell you when an image is AI-generated so you can approve it before it is used.

If you’d prefer we didn’t use AI

If you want AI restricted or not used for any part of your work, tell us in writing and we will follow that instruction. This may affect timescales or costs, and we will confirm any change with you before we go ahead.

Accuracy

AI can make mistakes. We check AI-assisted work carefully, but you remain responsible for approving content before it is published, particularly any legal, medical or financial claims.

Changes and questions

AI tools change quickly, so we may update this page. We will tell you about any material change at least 30 days in advance.
